Privacy Policy
Last updated: 12 October 2026
This policy explains how Small Home Japan handles personal data when you visit our website, request The Small Home Audit worksheet or contact us.
1. Who is responsible
Renata Kalinova, trading as Small Home Japan
Oldrichova 278/7, Prague 12800, Czech Republic
Email: [email protected]
Renata Kalinova is the data controller: she decides why and how Small Home Japan uses your personal data.
2. Information we collect
- Your email address when you request the worksheet.
- The information you choose to include in enquiries and our replies.
- Records of your request, any marketing consent and unsubscribe preferences.
- Technical information needed to operate and protect the site, such as IP address, browser information and security logs, handled by our hosting and form providers.
You do not need to provide a telephone number or payment details to request the free worksheet. Please do not send sensitive personal information in the form.
3. Why we use it
Worksheet requests: we use your email to fulfil your request and provide related service communications. Our legal basis is taking steps at your request and providing the requested service (GDPR Article 6(1)(b)).
Enquiries and site security: we use relevant information to answer questions, maintain a reliable service and prevent misuse. Our basis is our legitimate interest in operating and protecting the site (Article 6(1)(f)), balanced against your rights.
Optional promotional email: we will send Small Home Japan tips, updates or offers only if you separately opt in. Our basis is your consent (Article 6(1)(a)). Requesting the worksheet does not by itself subscribe you to promotional emails. You can withdraw consent through an unsubscribe link or by contacting us.
Legal requirements: we may retain or disclose information where required by law (Article 6(1)(c)).
4. Service providers and sharing
Small Home Japan uses HighLevel (GoHighLevel/LeadConnector) to host these pages, run the signup form and store contact and request records. HighLevel handles that information on our behalf as a service provider and data processor; Small Home Japan remains responsible for its use.
We use Namecheap Private Email for the contact mailbox. Relevant enquiries and replies are handled through that service. Providers may use their own infrastructure suppliers under their applicable agreements. We do not sell your personal data. We disclose information only to providers needed for these services, where legally required, or where necessary to protect lawful rights.
5. International processing
Providers may process information outside the European Economic Area, including in the United States. For relevant transfers, HighLevel’s published data-processing agreement provides safeguards including the European Commission’s Standard Contractual Clauses. You can contact us for information about the safeguards applicable to your data. Provider information is available in HighLevel’s data-processing agreement and Namecheap’s privacy policy.
6. How long we keep information
We keep worksheet request and enquiry information for as long as needed to deliver the requested service, handle related questions and resolve any outstanding issues. If you separately subscribe to promotional emails, we keep the relevant contact and consent records until you unsubscribe or they are no longer needed. We may retain a minimal suppression record to respect your unsubscribe request, and records required by law or needed for legal claims. Retention depends on the purpose and any applicable legal requirement; you can ask us about a particular record.
7. Cookies and similar technology
Hosting and form services may use cookies or similar technology needed for site operation, form submission and security. Optional analytics or advertising technology should run only after any consent required by law. Browser settings let you control cookies, although blocking necessary technology may affect the form. This policy does not treat use of the site as consent to optional tracking.
8. Your rights
Subject to the conditions in applicable law, you can request access, correction, erasure, restriction or portability of your personal data; object to processing based on legitimate interests; and withdraw consent without affecting processing that was lawful before withdrawal. To make a request, email [email protected]. We may need proportionate information to verify your identity.
You may complain to the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů): contact information. You do not need to contact us first to exercise that right.
9. Other information
The service is intended for adults, and we do not knowingly seek children’s data. We do not use signup data to make automated decisions with legal or similarly significant effects. We use reasonable security measures and limit access to people and providers who need it; no online service can guarantee absolute security.
We may update this policy as the service changes. The date above identifies the latest version. For questions, contact us at the address in section 1.
